Job Description

ReVireo is looking for an individual to fill the salaried full-time position of Administrative Coordinator. An Administrative Coordinator will support the Project Managers in various administrative tasks to ensure project schedules, budgets, and scopes are met. The position will be performed either from ReVireo’s headquarters in Springfield NJ or while working from home.

Tasks of the Administrative Coordinator will include varying details of project tracking, interfacing with clients, data entry and submission, data management, invoicing, scheduling, and reporting. Some tasks have daily deadlines that must be met. The ideal candidate must have excellent organizational and interpersonal skills, and be able to interface with clients. They will be self-motivated and trustworthy to ensure a smooth-running office.

This position is hybrid / remote.  At management’s discretion, the position will be performed either while working from home or at ReVireo’s headquarters in Springfield, NJ.

Job Responsibilities

  • Support Project Managers in any assigned tasks and duties
  • Manage energy efficiency rebate registrations and application submissions
    • Create and submit incentive registration documents to rebate programs
    • Create and submit incentive processing packages to rebate programs
    • Track the above and manage back and forth with rebate programs, internally with ReVireo staff, and sometimes with clients.
    • Maintain accurate and up-to-date records in project management platform
  • Manage confirmed energy rating software files and supporting documentation processing
    • Submit to quality assurance provider
    • Provide final deliverables from energy rating software files to clients after approval from quality assurance provider
    • Track the above and manage back and forth with quality assurance provider, internally with ReVireo staff, and sometimes with clients.
  • Manage phone calls and correspondence as needed (e-mail, letters, etc.)
  • Create and update records in our project management and client relations database
  • Assist and support Project Managers and staff whenever necessary
  • Client communication – respond to calls/emails in a timely manner
  • Task management and assignment
  • Ensure task deadlines and turnaround times are met
  • Follow all company procedures and guidelines
  • Other duties as assigned by Project Managers

Compensation and Benefits

  • Salary starting not less than $50,000 per year and negotiable, commensurate with experience and qualifications; re-evaluated annually based on performance
  • Company profit sharing of 10% net profit to employees, allocation based on performance
